Position Summary:

The Project Administrator plays an important role in professionally supporting the Projects team in managing the flow of data and documents through the entire life cycle of the project. This position is also responsible for basic contract administration and general reception duties in our Richmond office.

Key Responsibilities:


  • Adhere to all Tervita safety policies and procedures
  • Coordinate and communicate effectively with the Safety Department

Data Entry & Cost Tracking

  • Completing project set-up from information provided by the Project Manager and team, ensuring all project attributes and variables have been properly input in to PeopleSoft in accordance with the contract requirements
  • Daily entry of project costing such as labour hours, equipment hours and third party costs using PeopleSoft Field Data Capture System and PeopleSoft Contract modules
  • Assist project team with entering project visa expenses, scanning receipts and ensuring each expense entry maps correctly to the PeopleSoft project cost module for cost tracking

Scheduling & Planning

  • Assist creating a project schedule to show timeline of project in Primavera P6
  • Working with project estimators and assisting with transferring winning bids and work break down structures into the PeopleSoft contract module for cost tracking
  • Work with the Project Manager and the PeopleSoft supply chain module to create purchase requisitions for purchase orders and receive goods and services against the purchase orders
  • Coordinate the supply chain process on projects


  • Generate project cost reports as direct by Project team members
  • Run performance reports in PeopleSoft and provide revenue projections to Senior Management
  • Maintain document control records, produce tracking reports and follow-up outstanding actions with project team members
  • Complete administrative closure at end of project

Administrative Duties

  • Manage project documents, drawings and project deliverables in accordance with the project manager and company policies and procedures
  • Distribute project documents for review via email, SharePoint and FTP, ensuring all project team members are informed
  • Basic reception duties for our office, inclusive of answering telephones, directing calls, taking messages and handling general phone inquiries
  • Scheduling appointments and coordinating meetings and conferences for project personnel including scheduling of meeting rooms, equipment and catering as required
  • Other duties as assigned


  • Minimum 3 years related experience preferably within an engineering, construction or environmental services environment or demonstrated competency
  • Lead by example and commit to positively lead and influence the Tervita Safety Culture
  • Ability to work with multiple Project Managers and Project Coordinators on multiple contracts
  • Thrive for the challenge of a multi-discipline environment that changes quickly and requires accurate attention to details and solid commitment to follow through on tasks without direction
  • Excellent organizational skills along with strong attention to detail

  • Ability to consistently act as a role model with respect to Tervita’s Health & Safety Program, on and off the work site
  • Experience with Share Point, FTP and electronic filing within a Windows environment would be an asset
  • Experience with Oracle PeopleSoft or equivalent software for construction projects would be an asset
  • Experience with database input and records management
  • Strong computer skills with proficiency working with Microsoft Office suite
  • Basic accounting knowledge
  • Understanding the contract change order process
